ID Card Processing

 
ID ISSUANCE

Letran Calamba will issue a new ID card to all officially enrolled students.

New personnel, as a condition of their employment, are issued their first ID card free of charge.

Individuals who are neither students nor current employees of the Colegio may be eligible to receive an ID card as long as they are "affiliated" with the Colegio through a sponsoring department.

Letran Calamba ID card does not expire until the individual is separated from the Colegio.
 

ID CARD REPLACEMENT

If the initially issued card or subsequent cards are lost, stolen or mutilated, the cardholder will be charged for the replacement cost of a new card.

The ID fee can be paid by the individual through the Cashier's Office.

Reporting a Lost or Stolen ID
It is the cardholder's responsibility to promptly report any lost or stolen ID card to the appropriate department to ensure timely deactivation and prevent unauthorized use.

For Students:
Students must:
1. Immediately report the lost or stolen ID card to the Student Services Department (SSD).
2. Obtain and submit a Notarized Affidavit of Loss to the SSD.
3. Once the affidavit is submitted, the IT Department will process and issue a replacement card.

For Personnel:
Personnel must:
1. Immediately report the lost or stolen ID card to the Human Resources Department (HRD).
2. Obtain and submit a Notarized Affidavit of Loss to the HRD.
3. Once the affidavit is submitted, the IT Department will process and issue a replacement card.

Cardholders requesting a replacement for a lost or mutilated ID card will be issued a new card with an updated issuance date. Once activated, the new card replaces the previous one, rendering the older card invalid. If the lost card is later recovered, it cannot be reactivated.

 

HOW TO GET YOUR NEW ID CARD

FOR STUDENTS:

  1.  The student must complete the ID Card Information Sheet sent to their Knightmail account. The form must be accessed and submitted using their Knightmail account, along with all required supporting documents.
  2. The name printed on the ID card is the individual's official name as recorded in the Letran Calamba School System (LSS).
  3. The IT Department will notify the student through Knightmail once the ID is already available to be claimed.
  4. On the claiming date, new students must bring their proof of enrolment, while the old students are required to present their proof of enrolment and the previously issued Letran School ID.

* Please note that the IT Department has the right not to release your new ID if you fail to bring the proof of payment (new and old students) and the previously issued Letran School ID (old students).

FOR PERSONNEL:

  1. All new personnel must have their information processed and entered into the Letran Calamba School System by the Human Resources Department.
  2. New personnel are required to complete the ID Card Information Sheet sent to their Knightmail account. This must be accomplished using their Knightmail account, with all necessary requirements attached.
  3. The name printed on the ID card is the individual's official name as recorded in the Letran Calamba School System.

 

HOW TO PROTECT YOUR ID CARD

Your ID card is an essential tool for accessing various institutional services and functions. As the school ID card is now equipped with RFID (Radio-Frequency Identification) technology, it is important to handle it with care to maintain its functionality and ensure its longevity. Please be guided by the following guidelines:

  1. Keep Away from Heat and Sunlight
    • Avoid leaving your ID under direct sunlight, inside a hot car, or near heat sources, as extreme temperatures may damage the RFID chip and card surface.
  2. Avoid Scratching or Bending
    • Do not punch holes, bend, or fold your ID. Scratches and cracks can affect both the RFID function and card readability.
  3. Use a Protective Holder
    • Always keep your ID in a plastic holder or lanyard to prevent dirt, moisture, and physical damage.
  4. Keep the Card Dry
    • Protect your ID from water and moisture. Avoid submerging it in liquids or exposing it to rain.
  5. Do Not Place Near Magnets or Strong Electronics
    • Keep your ID away from magnetic objects and devices (such as speakers or phones with strong magnets) that may interfere with the RFID chip.
  6. Clean Gently
    • If needed, clean your ID with a soft, dry cloth. Do not use strong chemicals, alcohol, or abrasive materials.
  7. Report Loss or Damage Immediately
    • Inform the school’s designated office right away if your ID is lost or damaged to prevent misuse and to request a replacement.

By following these practices, you can maintain your ID card's condition and ensure seamless access to the services it provides.
